Membership

How do I apply for membership?

You can apply online by clicking "Apply Now" and completing the four-step membership application form. You will need your Employee ID, personal details, bank information, and supporting documents including your Staff ID and passport photograph.

What are the eligibility requirements for membership?

You are eligible if you are: (1) a full-time permanent staff member, (2) a contract staff member with a minimum engagement of 12 months, (3) a staff member on confirmed appointment, or (4) a retired staff member seeking legacy membership. Probationary staff are not eligible.

How long does the application process take?

The standard processing time is 5–10 working days from the date your completed application is received. You will be notified by email once a decision has been made. Complex or incomplete applications may take longer.

Can I apply for membership on behalf of someone else?

No. Membership applications must be submitted personally by the applicant. The application requires your personal declaration and signature, which confirms the accuracy of the information provided.

Can I cancel my membership?

Yes, you can voluntarily withdraw from the Scheme by submitting a written withdrawal request to the Welfare Office. Note that voluntary withdrawal may affect your entitlement to a refund of contributions depending on the circumstances outlined in our Constitution.

Benefits

What benefits am I entitled to as a member?

Your entitlement depends on your contribution level and length of membership. Active members have access to medical assistance, bereavement support, emergency loans, and more. A full breakdown is available on our Benefits page.

How do I apply for a welfare benefit?

Log in to the Member Portal, navigate to "Apply for Benefit," select the relevant benefit category, complete the form, and upload the required supporting documents. You will receive a reference number upon submission.

How long does it take to process a benefit request?

Processing times vary by benefit type. Emergency loans are typically processed within 48–72 hours. Standard welfare benefits take 5–14 working days. Complex claims such as medical or surgical support may take 14–21 working days.

Is there a limit on how many times I can apply for benefits?

Limits vary by benefit type. For example, the education bursary may be claimed once per child per academic year. Emergency loans may only have one active loan at a time. Please refer to the Benefits Guide for full details.

How are benefit amounts determined?

Benefit amounts are determined by your contribution level, years of active membership, and the nature of the claim. The Board reviews and sets benefit ceilings annually. Your contribution tier (Bronze, Silver, or Gold) influences the maximum amount you can receive.

Contributions

How much are the monthly contributions?

Monthly contributions are tiered: Bronze – GH?2,000/month, Silver – GH?4,000/month, and Gold – GH?8,000/month. You choose your tier at the time of application and can change it once per year.

Can I change my contribution level?

Yes. You may change your contribution level once per calendar year by submitting a written request to the Welfare Office before the 15th of the preceding month. Changes take effect from the next calendar month.

What happens if I miss a contribution?

Missing up to 2 consecutive contributions will result in a warning notice. Missed contributions of 3 or more consecutive months may lead to suspension of benefit access until arrears are cleared. Arrears can be paid via a lump sum or spread over 3 months.

Can I make a lump sum or advance contribution?

Yes. You may make advance contributions covering up to 6 months at a time. Lump sum payments must be approved by the Treasurer and will be reflected in your contribution history within 5 working days.

Are contributions refundable upon resignation?

Contributions are generally non-refundable as they are pooled for collective welfare. However, in exceptional cases such as redundancy or severe financial hardship, a partial refund may be considered by the Board on a case-by-case basis.

Applications & Account

What documents do I need to apply for membership?

Required documents are: (1) valid Staff ID Card, (2) recent passport photograph. Some benefit applications may require additional supporting documents such as medical reports or letters. No bank statement is required for membership.

How do I track the status of my application?

Log in to the Member Portal and go to "My Applications" to view the real-time status of all your submissions. You will also receive email notifications at each stage of the process.

What happens if my application is rejected?

You will receive an email explaining the reason for rejection. You have the right to appeal within 14 days of the decision. Appeals must be submitted in writing to the Welfare Officer with any additional supporting evidence.

Can I appeal a benefit decision?

Yes. All members have the right to appeal. Submit your written appeal with supporting documentation to the Welfare Office within 14 days of the decision notification. Appeals are reviewed by the Board within 10 working days.

How do I update my personal or bank information?

Log in to the Member Portal and navigate to "My Profile" to update your personal details. For bank account changes, you must submit a formal request to the Welfare Office with your updated bank statement for verification.
